Glenwood Place Board Job Descriptions

The Chairperson’s job involves playing a pivotal role in the following processes:

  • Overseeing the various positions on the Board
  • Appointing committees to assist the Board and our community
  • Presiding over monthly, bi-annual and annual HOA meetings
  • Signing bills approved by the Board and submitted by the Treasurer 
  • Maintaining historical records 
  • Working with Board Members to build each year’s budget, making cash flow projections and determining the amount of condo fees needed for the coming year
  • Mitigating issues with residents
  • Liaison to HOA Attorney
  • Liaison to the community

Skills Needed

  • Good organization of information and ideas
  • Attention to detail
  • Computer literate

Attitudes Needed

  • A commitment to uphold and enforce the bylaws and resolutions of Glenwood Place for the sake of the overall health of the Association

The Secretary’s job involves playing a pivotal role in the following processes: 

  • Authorizing checks 
  • Recording the   minutes of the Glenwood HOA Board Meetings, General Meeting and  Annual Meeting 
  • Filing Board Meeting documents in the Clubhouse Library 
  • Submitting Board Meeting documents to the webpage  
  • Providing Glenwood Condo Corner articles for the Summerplace News • Maintaining the Glenwood Roster of Residentsand file of Resident Contact Information Forms
  • Maintaining up-to-date doorbell nameplates 
  • Writing correspondence required by the board 
  • Reserving meeting rooms in Summerplace Clubhouse • Serving as Liaison to Summerplace website
  • Attending Building Representative meetings

The Treasurer job involves playing a pivotal role in the following processes:

  • Collecting, Tracking and Managing Condo Fees
  • Paying bills submitted by vendors.
  • Monitoring the checking, savings, money market and CD accounts
  • Being the main liaison with our insurance company
  • Making sure our taxes are filed
  • Being the main liaison with realtors, loan companies and title companies during  sale and purchase of a unit
  • Administering our Quickbooks Online software and making sure data is entered and output accurately and completely
  • Maintaining historical file records for all financial transactions, financial processes and unit sales and purchases.
  • Working with Board Members to build each year’s budget, making cash flow projections and determining the amount of condo fees needed for the coming year

Glenwood Place houses our financial information in Quickbooks Online.  All bank accounts are managed here as are bill payments and check writing to vendors, recording condo fees and tracking any extra charges or late fees, producing invoices where necessary and running reports for Board members and homeowners that display our financial condition.

Skills Needed

  • Experience with accounting principles and processes or ability to learn such
  • Experience with Quickbooks or ability to learn the software
  • A commitment to accurate and timely record keeping
  • Good at organizing information and ideas
  • Great attention to detail

The Glenwood Maintenance Person position is responsible for coordinating the HOA’s building maintenance for its 144 households in 21 multi-unit buildings.  Additional volunteers sometimes assist this Board position.

Responsibilities include:

  • Responding to written requests for service or repair through AVRs (Avoid Verbal Requests forms)
  • Investigating problem(s) and determining solution(s)
  • Contacting appropriate vendors and/or contractors to schedule work
  • Advising homeowner of plan(s) and monitoring progress 
  • Recording actions taken and returning completed AVR to coordinator
  • Responding immediately to emergency needs on the property 
  • Coordinating HOA’s property-wide maintenance projects such as repair or replacement of roofs, gutters, electrical systems, as assigned by the HOA
  • Monitoring conditions on HOA property such as lights, garbage areas and remedying problems
  • Providing a written monthly report to the HOA Board of Directors

  • Sourcing qualified professionals and approving contracts
  • Being physically able to review Glenwood property
